Daily & Weekly Timesheet

Your Time Tracking page allows you two options for tracking your working week. You can decide on tracking your hours using the daily timesheet or the weekly timesheet.

Daily Timesheet

To set your Daily Timesheet up just do the following:

Time Tracking
Current (date) is highlighted
Duration Select between Hrs and Min
Label your work > Project and Task drop down menus
$ = billable and can be switched on and off to show billable time
Fill in the Note for Client & Internal Memo > Example: 3 hours working on Coding
Save

Your daily timesheet also allows you to track your day through the timer option by doing the following:

Fill in the information as described above: activity, project, task, billable/unbillable, notes, etc.
Start button beside Hrs/Min

Delete, Copy To, Move To

Copy To > duplicates your timesheet to other days
Move To > move your timesheet from one day to another

Time Tracking Methods

XperienceHR supports two time tracking methods that can be configured in Configuration -> Settings.

Admin can select one method for the whole company, or can leave it up to employees to decide which method they prefer.

1. Duration Time Tracking

Duration time tracking lets employees enter how long they worked on a specific tasks regardless of what time the task they worked on started. Employees can enter the duration manually or use the timer to measure the time. The Timer option is only available on the current day.

|| Note: There is a limit of 24 hours of work that can be entered for a particular day.

2. Chronological Time Tracking

This method requires employees first to enter clock-in time or time of their arrival to work. From that point on, users are required to record the time at which they finished working on a particular task and started another task.

|| Note: There is a limit for entering work from arrival time until midnight for a particular day.

Requesting Time Off & List Of Time Off

The List of Time Off screen allows you to see an overview of your time off with the Summary of my Time Off dropdown menu.

Here you can view a complete breakdown of the current year and also the previous year, including how many days you have left to take off in several different categories by using the various options from the dropdown menus.

You can also request time off via the large plus sign:

Move to the large plus sign -> Request Time Off will appear along with Time Off Report (underneath)
To request time off select the type you want from the Type of Time Off dropdown menu options

Once you select the type of time off you are requesting you will then need to enter required information on the Details of Time Off screen.

Create an Employee

1. Creating New Employee

Click on **Employees **to display the list of employees. Hover mouse on „ + “ and select Create New Employee.

Select Create New Employee

Fill in all the required data in the 4 sections – Personal information, Login information, Tracking type and Employee settings.
Checkbox Active needs to be ticked in, otherwise employee will not be visible in timesheets, reports and also it will not be possible to track his worked hours.
Time tracking and Attendance – there you need to select if employee will track time or attendance.
In the Organizational Unit, you need assign an employee to a unit. The Line manager of the unit in which the employee is assigned will be their direct Line manager. If the Manager changes, simply change the employee's assignment to the Organizational unit of the new manager, and the change will take effect immediately.

| Tick in the Notify Employee checkbox if you want to send notification with login and password to employee’s email.

1. RECORDING ATTENDANCE FOR EMPLOYEES

In the menu, select the **Attendance **> Time Clock (Figure 1)
A virtual terminal will appear, where it is possible to record the Arrival using the buttons
After recording the arrival, the elapsed time since the start of work can be seen
It is also possible to record a manual break using the Start button under the Break label, or record Departure from work (Figure 2)

Time Off Approvals

The Time Off approval process is very straight forward and starts with an employee submitting a Time Off Request. At the time of the request, the employee is shown their remaining balance for each type of leave. The balance reflects already approved and also requested (not yet approved) time off.

Summary of Time Offs

There is a Time Off calendar at the bottom part of the screen that shows absence requests from the team members on the employee's level, his/her manager and subordinates. It can be used to better coordinate time off planning in the team and to avoid overlapping requests with other team members.

The employee's manager is immediately notified by email upon submitting the request. Additionally, the task Approve Time Off appears on the manager's Dashboard To Do section.
The manager clicks the link in the email that opens the Time Off Request detail page. There are Approve and Decline buttons for taking the action. The Time Off calendar is again shown at the bottom for manager to see if there are any conflicting open or approved requests within his team.
The manager can also state the reason for declining the Time Off request.

An alternative way to reach the list of requested time off is by clicking the Time Off -> List of Time Off and select all requests with an open status.
